faq:
  - q: "What hotel management software suits a small homestay or guesthouse?"
a: "Software that syncs your room calendar with every booking site you use, works well on a phone, lets you preset seasonal and holiday rates, and lets you export your data. For a property with a handful of rooms, a simple tool beats a long list of reports."
  - q: "Does hotel management software reply to guests on WhatsApp or Zalo?"
a: "Ask the vendor directly during the demo. Hotel management software runs the calendar, rates and bookings. To answer guests who message you directly on WhatsApp, Zalo or Messenger, you need someone on shift or an AI agent that can read your room calendar."
  - q: "Does Ecbot replace my hotel management software?"
a: "No. Ecbot is an AI agent that answers guests on WhatsApp, Messenger, Zalo, Telegram and your website chat. It checks free rooms and records holds through tools you connect, for example Google Calendar or Google Sheets through Composio, or your own system's API if it has one."
  - q: "Can a hotel chatbot send deposit reminders and check-in info?"
a: "Yes, with follow-ups. The agent schedules a message to the same guest on the same channel, from 1 minute to 30 days ahead, for example a deposit reminder after 12 hours or check-in info the day before arrival. Follow-ups live in the chat and are not synced with your hotel management software, so if you move a booking there, the follow-up does not know."
  - q: "Can an AI agent answer guests in English and Vietnamese?"
a: "Yes. The agent replies in the language the guest writes in, using the rate sheet and house rules you uploaded, so every guest gets the same facts."
  - q: "Does Ecbot answer messages on Booking.com, Agoda or Airbnb?"
a: "No. Ecbot does not connect to booking sites' inboxes. It works on WhatsApp, Messenger, Zalo, Telegram and your own website chat."

A hotel chatbot can answer the guest who messages on WhatsApp at midnight, check your room calendar, hold the room pending a deposit and pass payment questions to staff while you sleep. Hotel management software keeps your calendar, rates and OTA bookings in order, but it does not reply to chats, and a direct inquiry that waits until morning has often booked somewhere else.

Picture a two-bedroom pool villa outside Hoi An. At 1:12am, its WhatsApp Business number gets this:

> hi! any chance the 2br villa is free 20-23 dec? 4 adults. do u do airport pickup from da nang and how much

The owner is asleep. The calendar in her software is correct, and the villa is free those nights. By 7am the guest has paid a deposit on a villa down the road that replied first.

## Five questions to ask before you choose hotel management software

### 1. Does it sync with every site you sell on?

If you take guests from Booking.com, Agoda, Airbnb and direct bookings, one missed sync is enough to double-book a room. Ask which sites the channel manager covers and how often it syncs.

### 2. Can you run it from your phone?

Small properties rarely have someone at a front desk all day. The person checking guests in might be the owner on a scooter, so check-in, room moves and rate edits on a phone matter more than polished reports.

### 3. Can you preset high season, weekend and holiday rates?

Christmas, Lunar New Year and local holidays all move your prices. If each one means editing rates by hand in several places, one place will get missed. Set up a holiday rate during the demo and see how long it takes.

### 4. Can you get your data out?

Ask whether you can export bookings and guest lists, and whether there is an API other tools can use to read the calendar. The answer decides whether you can switch vendors later, and whether anything else can plug into your availability.

### 5. Who answers guests who message you directly?

Count the room inquiries that reach you on WhatsApp, Zalo and your Facebook page in a week, then see how many arrive after 10pm. Hotel management software records a booking after the guest has chosen you. The messages before that are where you win or lose them.

## Your calendar lives in the software, your guests live in WhatsApp

Here is how the work splits at a typical small property.

| Task | Hotel management software | AI agent in your inbox | Staff |
| --- | --- | --- | --- |
| Hold the room calendar, sync with OTAs | Core job | Reads it through a connected tool | Check when needed |
| Answer room questions on WhatsApp, Zalo, Messenger at midnight | Not its main job | Answers from your rates and house rules | Only when on shift |
| Reply in English to foreign guests and in Vietnamese to local ones | Not its main job | Replies in the guest's language | Depends on who is on |
| Record a hold for a direct inquiry | Once someone enters it | Records it through a connected tool, logged | Enters by hand |
| Deposit reminders, pre-arrival check-in info | Depends on the software | Scheduled follow-up in the same chat | Sends by hand |
| Deposits, refunds, complaints | Records payments | Hands the chat to staff in the same inbox | Decides |

The middle column is the one most small properties leave empty, because nobody wants to be awake at 2am answering "is the pool private?".

## The 1:12am message, with an AI agent on shift

Back to the villa near Hoi An. This time the owner has connected Ecbot to her WhatsApp Business number, uploaded her rate sheet and house rules, and connected the Google Sheet she uses as a room calendar through Composio.

![Illustrative WhatsApp chat with a hotel chatbot: a guest asks at 1:12am whether a two-bedroom villa is free 20 to 23 December for 4 adults, with airport pickup from Da Nang. The agent confirms the dates, rate and 450,000 VND pickup, holds the villa pending a deposit, schedules check-in info for 19 December, and hands the card payment question to Mai.](/blog/ai-agent-for-hotel-homestay-chat.en.webp)

To answer, the agent checked the dates and recorded the hold through the connected tool, and took the rate, pickup price and late check-in rule from the documents the owner uploaded. Ecbot logs each tool call, so in the morning Mai can see which dates the agent checked and what it wrote.

The agent did not answer the card question itself. The owner wrote a guardrail with the instruction "messages about deposits, payments, refunds or complaints go to a person", set it to escalate when it blocks, and added keywords like "deposit", "card" and "refund" as a backup. The guest got the handoff message the owner wrote, and the chat landed in Mai's inbox with the full conversation. The guardrail uses an AI classifier, so it can miss a message now and then. Test it with real old guest messages before you switch it on.

A scripted hotel chatbot would have stalled at the first message, which packs dates, group size, a transfer and a price question into one line. [AI agent vs chatbot: what is the difference?](/en/blog/ai-agent-vs-chatbot) explains why.

## Deposit reminders and check-in info with follow-ups

"On 19 December I'll message you" is a follow-up. The agent schedules a message to the same guest on the same channel, from 1 minute up to 30 days ahead, with at most 5 pending in one conversation. The guest can ask for one ("remind me the day before"), or you set follow-up rules for the agent, for example:

- "If a guest holds a room and hasn't confirmed the deposit, remind them after 12 hours."
- "Send directions, check-in time and the owner's phone number 1 day before arrival."
- "Check in with the guest 1 day after check-out."

When a follow-up fires, the agent rereads the conversation and writes a fresh message, so the reminder reflects what the guest has said since, not a template from the day they booked. It is skipped if the conversation was resolved or the agent was turned off.

Follow-ups live in the chat. They are not synced with your room calendar or hotel management software, so if staff move a booking in the software, the follow-up does not know and still sends at the original time. The [follow-ups docs](/en/docs/agents/followups) show how to turn them on and write rules.

## What a hotel chatbot like Ecbot does for a small property

Ecbot is an AI agent platform for businesses that sell and serve customers over chat. Its agent sits in front of your hotel management software and the other tools you already use, and answers guests with what those tools hold:

- **One guest profile across every app.** A guest who messaged on Messenger last year and on WhatsApp this year gets one profile. Ecbot suggests a merge when the phone number or email matches, so the agent knows they stayed before.
- **An agent that does the work through your tools.** Google Sheets, Google Calendar and hundreds of other apps from the Composio marketplace, or the REST API or MCP server of a system you already run. Every tool call is logged.
- **Playbooks for the awkward cases.** You write a skill such as "guest asks for a refund: apologise, ask for the booking date, hand to the owner", and the agent opens it only when a conversation needs it.
- **You stay in charge.** The agent hands the chat to staff when the guest asks for a person, when a message contains a keyword you listed, when it falls back to "I don't know" several times in a row, or when a guardrail you wrote (such as "deposits, refunds and complaints go to a person") blocks a message. Staff reply from the same inbox.
- **No dropped messages.** Each incoming message is queued before it is processed, so a server restart halfway through a reply does not lose the guest.
- **Set up from one sentence.** Type "two-bedroom pool villa near Hoi An, guests message on WhatsApp", and Ecbot suggests a persona, tone and rules for you to edit.

The same agent runs on WhatsApp, Messenger, Zalo, Telegram and your website chat at once. Ecbot charges per conversation, not per channel.

## When you don't need this

- Nearly all your bookings come through Booking.com, Agoda or Airbnb, and guests message you inside those sites. Ecbot does not connect to their inboxes.
- You get a few direct inquiries a week and answer them all the same day.
- Your rates are negotiated guest by guest and your house rules are not written down. The agent can only answer from documents it has.
- Your calendar lives in a paper notebook. The agent needs somewhere to check, such as a Google Sheet or a system with an API, before it can hold a room.

## Start with last week's messages

Take the last ten room inquiries from your WhatsApp or Facebook page, especially the ones that arrived after 10pm, and run them through Ecbot's preview chat before you switch it on for guests. If the idea is new to you, read [What is an AI agent?](/en/blog/what-is-an-ai-agent) first. When you are ready, [try Ecbot](/en) and set up your first agent from one sentence about your property.
