faq:
  - q: "What does clinic management software do?"
a: "Clinic management software usually keeps patient records, appointments per doctor, prescriptions, medicine and supply stock, billing and revenue reports. Dental clinic software adds a tooth chart, treatment plans that run over several visits, and a schedule per dental chair."
  - q: "How is dental clinic software different from general clinic software?"
a: "A dental practice tracks each tooth and long treatments such as braces or implants, so it needs a tooth chart, visit-by-visit treatment plans and payment in instalments. A general clinic needs more on lab orders, prescriptions and the schedules of several specialties."
  - q: "Can a clinic appointment chatbot book into my clinic's calendar?"
a: "Only if you connect a booking tool to it. With Ecbot, that is a tool you connect, for example Google Calendar through Composio, or your own system's API if it has one. The agent uses the tool to check free slots and create the appointment, and every tool call is logged for staff to review."
  - q: "Will a clinic chatbot give patients medical advice?"
a: "It should not, and you should set it up so it cannot. In Ecbot you write a guardrail with an instruction that blocks questions about symptoms, diagnosis, medication or test results, and set it to hand the chat to staff when it blocks. Handoff keywords such as pain, swelling, bleeding and medicine act as a backup. The agent answers only admin questions from documents your clinic wrote."
  - q: "Is patient data safe with an AI agent?"
a: "The agent does not need medical records to answer questions about hours and prices, so give it admin documents only. Ecbot encrypts channel credentials, keeps each business's data separate, and has an open-source version you can host on your own server. Ecbot has no compliance certification for health data, so check what your clinic is required to meet before you use it."

A clinic chatbot should answer the patient who asks for a Saturday slot on WhatsApp at 10pm, book it through a tool you connect, and hand every question about symptoms or medicine to staff. Clinic management software keeps patient records, each doctor's schedule and billing in order, but it does not reply to chats, so that 10pm question waits until morning and the patient may book at another clinic.

Picture a dental clinic's WhatsApp on a Thursday night. One person asks "is dr tan in on sat?", another asks "how much for braces ah", and a third asks "need to fast before blood test tmr?". The answers are all in the clinic's software and documents. Nobody is on shift to send them.

## Five questions to ask before you choose clinic management software

### 1. Can it schedule by doctor, room and chair?

Patients usually want a specific doctor at a specific time, like Dr Tan on Saturday morning. The software needs a working schedule per doctor and a duration per service, and dental clinic software needs a schedule per chair as well.

### 2. Can patient records follow long treatments?

A course of braces runs for months, and a patient with diabetes comes back for regular check-ups. For a dental practice, check the tooth chart, visit-by-visit treatment plans and payment in instalments. For a general clinic, check lab orders and prescriptions.

### 3. Do billing, medicine and supplies live in one place?

If reception takes payment in the software but the medicine stock sits in a separate spreadsheet, someone will reconcile the two by hand at the end of every month. Ask the vendor whether revenue reports can be split by doctor and by service.

### 4. Can you get your data out?

Ask the vendor plainly: if you switch software next year, can you export the patient list and treatment history to a file? Also ask whether there is an API that another system can use to read free slots and create appointments. That answer decides whether you can automate booking from chat later.

### 5. Who answers patients after hours?

Clinic management software records an appointment once the patient has booked. Most bookings start earlier than that, in a WhatsApp or Messenger message, and the software does not reply to those.

## What a clinic chatbot does and what your software does

The table below shows how the work splits between clinic management software and an AI agent in front of your inbox. The two tools do different jobs and run side by side.

| Task | Clinic management software | AI agent in your inbox (Ecbot) |
| --- | --- | --- |
| Medical records, prescriptions | Core job | No, and it should not |
| Doctors' working schedules | Stores and manages them | Reads them through a tool you connect |
| Answer "is Dr X in on Saturday?" | Reception opens it and replies | Answers from the schedule you provide |
| Quote treatment prices | Holds the internal price list | Answers from the price list your clinic wrote |
| Book from a chat message | Reception enters it by hand | Checks free slots and books through a connected tool |
| Appointment reminders | Depends on the software | Sends a reminder in the patient's own chat |
| Questions about symptoms or medicine | Not its job | Hands the chat to staff straight away |
| A message at 10pm | Waits until morning | Answered within seconds |

Many clinic chatbots only answer from a script of buttons. An AI agent is an AI program that takes a task, decides the steps and uses tools to finish it, so after it answers it can also book the slot. If you are not sure how that differs from a scripted chatbot, read [AI agent vs chatbot: what is the difference?](/en/blog/ai-agent-vs-chatbot).

## A Thursday night in a dental clinic's inbox

The clinic, doctor and prices in this example are made up. A patient messages the clinic's WhatsApp Business number at 9:47pm:

![Illustrative WhatsApp chat with a dental clinic chatbot: at 9:47pm a patient asks whether Dr Tan works on Saturday and how much braces cost. The agent gives Saturday hours, quotes metal braces from USD 2,500 as an example price, books 10:30am on Saturday and schedules a reminder for Friday evening. When the patient asks what medicine to take for swollen gums, the agent does not advise, hands the chat to clinic staff, and tells the patient to call 999 if the swelling spreads fast or they have a high fever or trouble breathing.](/blog/ai-agent-for-clinic-chat.en.webp)

To book, the agent checked free slots and created the appointment through the tool the clinic connected, for example Google Calendar through Composio or a booking system's API. Ecbot logs every tool call, so the next morning reception can see exactly what the agent booked, for whom and at what time. The Friday reminder comes from a reminder rule the clinic set up for the agent.

When the medicine question arrived, the guardrail blocked it and the agent did not answer that part. The chat moved to the staff inbox with the full conversation attached, and whoever is on shift replies from that inbox without asking the patient to start over.

## The agent gives no medical advice: set handoff rules before you switch it on

In a clinic, a wrong answer can hurt a patient, so the first rule you write for the agent draws the line between admin questions and clinical ones.

![Diagram: patients message after hours on WhatsApp, Messenger, Zalo, Telegram and the website to one Ecbot agent with a guardrail that blocks every medical question. The agent answers clinic hours, doctors' schedules and prices, checks free slots and books through a connected tool, and sends appointment reminders in the chat. Questions about symptoms, medicine and test results go to staff, who reply in the same inbox, and emergencies get a message to call the local emergency number.](/blog/ai-agent-for-clinic-flow.en.webp)

The agent may answer:

- Opening hours, address and parking.
- Each doctor's working days and the free slots.
- Treatment prices, exactly as the clinic wrote them.
- Preparation notes the clinic wrote, for example fasting 8 hours before a blood test, or bringing old X-rays to a dental check-up.

The agent must hand to staff:

- Every question about symptoms, diagnosis or test results.
- Every question about medicine, dosage or side effects.
- Emergencies, with a message to call the local emergency number, such as 999 in Malaysia or 115 in Vietnam.
- Complaints, refunds, and any patient who wants to talk to a person.

In Ecbot, the agent hands the chat to staff when the patient asks for a person, when a message contains a handoff keyword you listed, when it has to answer "I don't know" several times in a row, or when a guardrail blocks a message. For a clinic, the guardrail does most of the work. You give it an instruction such as "any question about symptoms, diagnosis, medicine or test results", and set it to escalate when it blocks. An AI classifier reads each message against that instruction, and a blocked message goes to the staff inbox with a note that the chat was handed over.

The classifier can miss a message, so add handoff keywords as a backup: pain, swelling, bleeding, fever, medicine, dose, allergy. Before you switch the agent on for real patients, take 20 old messages from your inbox that asked about symptoms, send them through the test chat, and check that every one was handed over.

You can also tell patients where this line sits. The clinic's WhatsApp assistant handles bookings and prices, and a person from the clinic always answers health questions.

## What Ecbot does next to the software you already use

Ecbot is an AI agent platform for businesses that sell and serve customers over chat. Used as a clinic chatbot, it does not replace your clinic management software and does not store medical records. It sits in front of your chat channels and does this:

- **One agent for every channel.** The agent answers on WhatsApp, Messenger, Zalo, Telegram and your clinic's website chat at the same time.
- **One profile per patient.** Someone who messages on Messenger today and WhatsApp next week stays one profile. When two profiles share a phone number, Ecbot suggests a merge and staff confirm it.
- **Answers from your clinic's documents.** You upload the price list, doctors' schedules and preparation notes, and the agent answers from them. Documents live in Ecbot's database, or on your own server if you self-host the open-source version.
- **Booking through a tool you connect.** For example Google Calendar through Composio, or the API of the booking system you already use. The agent checks free slots and creates the appointment, and every tool call is logged.
- **Reminders and after-care check-ins.** The agent schedules a message to the same patient on the same channel, from 1 minute to 30 days ahead, with at most 5 pending per conversation. You set rules such as "remind the patient 1 day before the appointment" or "check in 2 days after a tooth extraction", or the patient asks "can remind me the day before?". When it fires, the agent rereads the chat and writes a fresh message, and skips it if the conversation was resolved or the agent was turned off. See the [follow-ups docs](/en/docs/agents/followups).
- **Playbooks you write once.** For example "braces consultation: ask which doctor they prefer, check free slots, take name and phone number, remind them to arrive 10 minutes early". The agent opens it when a conversation needs it.
- **Staff stay in charge.** When the agent hands a chat over, staff reply from the same inbox.
- **No dropped messages.** Each incoming message is queued before it is processed, so a server restart halfway through a reply does not lose the patient.
- **Set up from one sentence.** Type "dental clinic in Petaling Jaya, patients message on WhatsApp and Messenger", and Ecbot suggests a persona, tone, goals and rules for you to edit.

Reminders live in the chat. They are not synced with the calendar in your clinic management software, so if reception moves an appointment there, the reminder still goes out at the old time. When you reschedule, message the patient again in the same chat. Ecbot also has no ready-made connection to any particular clinic management software. If yours has an API, the agent can use it; if not, Google Calendar is the simplest place to start. Ecbot charges per conversation, not per channel, and has a free plan.

## When your clinic does not need an AI agent yet

- You get a few messages a day and reception answers them all during opening hours.
- Most of your messages are clinical, such as test results or prescription questions. The agent would hand nearly all of them to a person, so you would save little time.
- Doctors' schedules live in the receptionist's head or a paper book. The agent cannot book without a calendar to read, so choose your clinic management software or set up a Google Calendar first.
- Your prices are unclear or change case by case without being written down. The agent can only answer from the documents you give it.

## Start with last week's inbox

Open your clinic's WhatsApp and Messenger, pull out the messages that arrived after hours last week, and sort them into two piles: admin questions and clinical questions. The first pile is work an AI agent can take on once you have a price list, doctors' schedules and preparation notes. The second pile is the list of handoff rules to write before you switch it on. If the idea is new to you, read [What is an AI agent?](/en/blog/what-is-an-ai-agent) first. When you are ready, [try Ecbot](/en) and set up your clinic's agent from one sentence.
